1. Who we are
VowSnaps (“VowSnaps”, “we”, “us”) provides a wedding hub at vowsnaps.com: a guest photo gallery, guestbook, invitation replies, seating chart, wedding website, and live venue slideshow, all reached through a single QR code or link.
There are two kinds of people in this policy. A couple (or account holder) creates an account and pays for a wedding page. A guest visits that page — usually by scanning a printed code — and may upload photos, sign the guestbook, or reply to an invitation. Guests never create accounts.
2. What we collect from couples
- Account details. Your name, email address, and a securely hashed password. If you sign in with Google, we receive your name, email address, and Google account identifier — never your Google password.
- Wedding details you enter. Partner names, wedding date, venue, your story, day-of schedule, chosen design style, cover photo, and any seating chart or guest list you import.
- Purchase records. Whether you have paid, the amount, the date, and a Stripe transaction reference. We never see or store your full card number. Card details are entered on Stripe’s own checkout page and handled entirely by Stripe.
- Technical data. Standard server and security logs (IP address, browser type, timestamps) needed to operate the service and prevent abuse.
3. What we collect from wedding guests
Guests do not create accounts and are not asked for passwords. When a guest uses a wedding page we may store:
- Photos and videos they choose to upload, plus the name they type as the uploader.
- Guestbook notes and any profile photo they attach to that note.
- Invitation replies: the name they enter, party size, attendance, event selections, and meal choice.
- A small amount of browser storage on their own device so the welcome message is not shown repeatedly.
This content belongs to the couple’s wedding page and is visible to anyone who has the page link or QR code. Guests should treat anything they upload as shared with the couple and their other guests. If a guest wants something removed, the couple can delete it from their dashboard, or either party can contact us.
4. How we use data
- To operate your wedding page: display the gallery, guestbook, replies, seating, and slideshow.
- To process your one-time payment and unlock your wedding.
- To send essential service email — account, payment, and security messages.
- To keep the service running safely: preventing abuse, spam, and fraudulent uploads.
- To understand aggregate, privacy-friendly usage of our marketing pages.
We do not sell personal data, we do not share it with advertisers, and we do not use wedding photos, videos, or guestbook notes to train machine-learning models.
5. Service providers
We use a small number of established providers to run VowSnaps. Each receives only what it needs:
| Provider | Purpose | What it receives |
|---|---|---|
| Cloudflare | Hosting, database, media storage, email delivery | All service data, stored on Cloudflare infrastructure |
| Stripe | Payment processing | Your email and payment details, entered on Stripe’s page |
| Optional “Continue with Google” sign-in | Only used if you choose Google sign-in | |
| Plausible Analytics | Privacy-friendly page analytics | Aggregate visits — no cookies, no cross-site tracking |
Stripe processes payments under its own privacy policy and is PCI-DSS compliant. We recommend reviewing Stripe’s privacy policy for details on payment data.
6. How long we keep data
- Wedding content (photos, videos, guestbook, replies) is kept for the storage period described at purchase — a 12-month upload window beginning on your event date — and for a reasonable period afterwards so you can download your memories.
- Account records are kept while your account is active.
- Payment records are retained as long as required for tax and accounting obligations.
- Deleted content is removed from active systems promptly and purged from backups in the normal backup rotation.
Download your photos before your storage window ends. We are not able to restore content after it has been purged.
7. Your rights
Depending on where you live — including under GDPR in the UK and EU, and the CCPA in California — you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Delete your account and associated wedding content.
- Export a copy of your data (guest replies can be exported as CSV from your dashboard at any time).
- Object to or restrict certain processing.
To exercise any of these, email us using the contact page. We aim to respond within 30 days. We do not charge a fee for reasonable requests, and we will never discriminate against you for making one.
8. Security
Passwords are stored using industry-standard one-way hashing and are never readable by us. Traffic is encrypted in transit with HTTPS. Payment card data never touches our servers. Wedding pages are reachable by anyone with the link, which is intentional — that is how guests join without accounts — so treat your page link like an invitation rather than a password.
No online service can promise perfect security, but we limit what we collect, use reputable infrastructure, and keep the number of people with access to production data to a minimum.
9. Children
VowSnaps is intended for adults planning a wedding. We do not knowingly collect personal data from children under 13. Photographs of children may appear in a wedding gallery when uploaded by adult guests; the couple controls that gallery and can remove any upload. If you believe a child has provided us personal data directly, contact us and we will delete it.
10. Changes to this policy
If we make material changes we will update the date at the top of this page and, where appropriate, notify account holders by email. Continued use of VowSnaps after a change means you accept the updated policy.
11. Contact
